Respontra is operated by:Ahmed Aly ElsayedAhmed Allam St, Ibrahimia, Alexandria, EgyptThis policy explains what information Respontra collects, why, who processes it and the choices you have. It applies to respontra.app and the Respontra application.
Information we collect
Account details you give us (name, email address and password credentials), workspace settings and team members. When you connect WhatsApp, Instagram or Messenger through Meta, we receive the business account, phone number, Page or Instagram account identifiers and an access token, which we store encrypted. Through those channels we receive the messages, media, contact names and identifiers of people who write to your business, along with delivery status. We also store records you create, such as contacts, permission and opt-out records, notes, tasks and appointments, plus security and operational logs. We use only essential cookies for sign-in and language preference.
How we use information
To provide the service: show conversations in your inbox, send the replies and follow-ups you or your AI agent prepare, keep permission records, schedule appointments, send account emails, bill your subscription, keep the service secure and fix problems. We do not sell personal information and we do not use your conversations for advertising.
AI agent
If you turn on the AI agent, the business description, knowledge and rules you write, together with the recent messages of a conversation, are sent to Anthropic to generate a reply. Anthropic processes this data on our behalf to return the reply. You can turn the agent off at any time, and replying yourself pauses it in that conversation.
Service providers
We share information only with providers that run parts of the service: Supabase (database, file storage and sign-in), Cloudflare (hosting and network), Meta (WhatsApp, Instagram and Messenger delivery), Anthropic (AI agent replies), Paddle (checkout, billing and tax, as merchant of record), Resend (account emails) and Trigger.dev (scheduled background work). We may also disclose information when the law requires it.
Retention
We keep workspace data while your account is active. When a workspace owner requests deletion, outbound messaging stops immediately and the workspace data is permanently deleted after a 30-day recovery period. Backups roll off on their normal schedule. Paddle keeps its own transaction records as required by tax law.
How to delete your data
Workspace owners: open Settings → Data & account and choose Request account deletion; this schedules deletion of the whole workspace, including conversations, contacts and channel connections. You can also export your data there first. If you signed in with Facebook, you can additionally remove Respontra in your Facebook settings under Apps and websites. Anyone else, including people who messaged a business that uses Respontra, can email our support address below with the phone number or account involved; we will delete the data or pass the request to the business that controls it, and confirm within 30 days.
Your rights
You can ask to access, correct, export or delete your personal information, or object to how it is processed. For messages exchanged with a business, that business decides how the conversation is used, and Respontra processes it on the business’s behalf.
Security
Access to a workspace is limited to its members. Channel access tokens are encrypted, connections use HTTPS, and webhooks from Meta and Paddle are signature-verified.
Children
Respontra is a business tool for people aged 18 and over. We do not knowingly collect information from children.
Changes
We will update this page when our practices change and show the new date above. Significant changes are announced to workspace owners by email.
